The Accounts Payable Department is responsible for ensuring that the School District’s outstanding liabilities are paid in a timely manner.

Accounts Payable is in charge of making payments to vendors for products and services purchased on credit. We process and monitor these payments to ensure that the School District’s finances are accurate and up to date. We comply with Federal and State regulations regarding payments.

The Accounts Receivable and Grant Management Department is responsible for the collection and allocation of payments received.

The Grant Management Office is in charge of the accounting for various Federal and State grants awarded to the School District.  This office is also responsible for ensuring fiscal compliance regarding these grants.  Federal and State Grants account for approximately 24.5% of the District’s 2019-2020 budgeted revenue.  During fiscal year 2018-2019, we received $11,453,905 in Federal Awards.

The Accounts Receivable Office prepares bank deposits and monitors accounts for non-payment, delayed payment, or other irregularities. We maintain an accurate billing system and carry out reporting activities according to specific deadlines. We follow the District’s financial policies in the processing of our cash and receipts.

Donations and Gift Tracking Document

The School Board may accept and administer any donation that may be made to it for educational or literary purposes and shall enumerate details of the contents of such donations in a document made publicly available on its website.  Read the policy here.

The Department of Purchasing is responsible for issuing purchase orders and the tracking and tagging of inventory and equipment.

Purchasing is in charge of acquiring supplies and goods in order for the School District to achieve its business and educational goals. Iberville Parish School District adheres to the Louisiana Public Bid Law.  For materials and supplies purchases over $30,000, the purchase requires a bid where vendors compete to offer us the most effective combination of price and quality.   

Property Control creates specific guidelines and procedures for efficient supervision of inventory for recording purposes and records management. We are responsible for ensuring that inventory items are tagged and inventory accounts are maintained.
